If you are uncertain if you have participated in a named offer, please consult with your travel advisor, or email with your Tour Reference number, the Full Name of the Lead Passenger of your tour, and the Start Date of your tour.

Exploring Vacations Terms & Conditions


It is the responsibility of each customer to read the terms and conditions of your booking. Your booking is bound by these terms.

Passage to your Vacation: Exploring Vacations is an incoming tour operator providing a ‘land only’ service. Exploring Vacations therefore is not responsible for passenger travel into or out of the country or countries of Vacation. Exploring Vacations will not be responsible for any delays, cancellations or other hindrance of passage to your vacation.

Your Travel Booking – Whether you book alone or as a group, we will only deal with the lead booking name in all subsequent correspondence, including changes, amendments and cancellations. You must be 18 years old at the time of booking and possess the legal capacity and authority to book as the lead name and travel on vacation with us. You are responsible for ensuring the accuracy of the personal details or any other information supplied in respect of yourself and any other person travelling on the booking and for passing on any information regarding the booking or any changes made in relation thereto, to all persons travelling on such booking, including but not limited to information on schedule changes or copies of booking confirmations.

It is a condition of your booking with us that you and all other members of your party, including infants and children, are adequately insured on vacation. Any person who is under 18 years old must be accompanied by an adult on his or her journey. There may be other restrictions and conditions on some offers. When you or (if you are booking through a travel agent) your travel agent ask for your booking to be confirmed, we will confirm the booking, and set aside your chosen accommodation (or similar when your chosen accommodation is not available). Next, we will send you or your travel agent a confirmation. We may not be able to confirm some of our ground arrangements straight away. If there is any change to any of the details discussed at the time of booking, we will notify you promptly of any new or changed details, including a change to the total price (if any). If any detail on the confirmation invoice is not correct tell us or your travel agent immediately. If there is an obvious error on the confirmation invoice we reserve the right to correct it as soon as we become aware of it.

Price – All prices we advertise are accurate at the date published, but we reserve the right to change any of those prices from time to time. We reserve the right to increase the price of your vacation after you have booked but no later than 30 days before the departure date stipulated and will forward an amendment invoice reflecting any changes made. After a confirmation invoice has been sent to you, any increase to your vacation price will be as the result of changes in our costs of supplying your vacation.

If we cancel your booking – We aim to provide your vacation as booked. But if, for example, there are not enough people booked on your vacation or you do not pay the balance of the vacation price on time, we may cancel it. We reserve the right to cancel your vacation in any circumstances but if we cancel your vacation, except where this is because you have not paid, you can either have a refund or accept a replacement vacation from us of equivalent or similar standard and price, if we are able to offer you one.

If we change your booking details – We hope that we will not have to make any change to your vacation but, because our vacations are planned many months in advance, we sometimes do need to make changes. We reserve the right to do this at any time. We will let you or your travel agent know about any important changes when you book. If you have already booked, we will let you know as soon as we can, if there is time before your departure.

Escorted Drivers: Exploring Vacations will provide those visitors choosing an escorted tour with a personal driver. At designated attractions around your vacation the driver will pass over to the guide at the designated attractions. It should be noted that some attractions are self-guided and each visitor will be expected to self-guide within the attractions as required. The driver will not normally enter the attraction but will wait outside for the visitors to return to the vehicle. The drivers are allocated to the visitors for eight hours driving per day (an additional hour will be designated within the day for lunch). For the purposes of health and safety the drivers unless in exceptional circumstances cannot undertake driving beyond these hours. Driving is defined as a period from the commencement of the tour to the conclusion of the tour for that day and not timed on a basis of continuous driving for eight hours. Exploring Vacations considers the safety of its visitors and staff of paramount importance. The drivers will at all times obey the rules of the road. Each escorted tour will commence between 9am and 10am each days and run for 9 hours from start. In some circumstances the tour can start at an earlier or later time but the reasons for the change should be brought to the attention of a member of Exploring Vacations as soon as possible.

Insurance: Exploring Vacations is not responsible for any personal injury, property damage or loss a guest incurs arising from acts or omissions by any hotel or other organization. Exploring Vacations accepts no responsibility for cancellations of or interruptions to a tour due to delay or changes in schedules, flight cancellations, sickness, weather, strikes, war, quarantine, mechanical breakdowns, the actions of any government, weather, acts of God or circumstances beyond its control or for expenses or losses incurred as a result of any such circumstances. To guard against such unforeseen circumstances, you should have a travel insurance plan before you travel on your vacation.

Self-Drive Packages include: Your package includes the following: Accommodation each night Breakfast each morning having stayed at the accommodation overnight, Car rental (car model is not guaranteed) with compulsory insurance, unlimited mileage & breakdown cover, Personal Itinerary,
Car rental companies require the main driver to supply a credit card in his/her name in order to pick up the car. A credit card is required for the excess/deductible.

Driver must hold a current driving licence having been valid for at least 2 years. You must be between 25 – 75 years old. (Minivans and some other vehicles require the driver to be 30 years old or more). Younger and older drivers can be accommodated at an extra charge. Please contact us for details. Location service charge is excluded. If you require additional drivers, fees will apply and are payable direct to the rental desk on arrival.

Where an offer of free car hire is made by Exploring Vacations the offer only includes car hire to the value of €150 per booking. Any surplus fee is payable by the customer. Additionally, the car hire contract is not affected. The contract is still with Exploring Vacations’ preferred car hire partner and the customer is bound by the contract signed with the car hire provider. The car hire contract is not made with Exploring Vacations and Exploring Vacations is not responsible for any damage, injury or any associated costs whatsoever that arise from the hire of the vehicle.

GPS units are subject to availability and cannot be guaranteed. There is generally availability but in the event the car hire firm cannot provide and payment has been received, the client will receive a full refund for the GPS unit.

Escorted Packages include: Accommodation each night, Breakfast each morning, having stayed at the accommodation overnight, Personal driver, Luxury vehicle at your disposal throughout your visit, Tolls and road fees included, Entry to attractions included (all attractions listed in your itinerary are included except those listed under ‘at leisure’), sightseeing each day, Advice with dining locations.

Paying For Your Travel Arrangements – You will be required to pay a deposit to us for each person when you book unless this is within 60 days of departure when the full amount for the booking is payable. The deposit amount will be specified by us or your travel agent when your booking is made. If it is not specified then it will be the amount that we ask you to pay when you book, even if this is 100% of the vacation price. Within two weeks of booking, we will send you a Confirmation Invoice showing how much you owe us. You must pay the amount on the last Invoice issued by us, at least 60 days before you go on vacation. If you don’t, we reserve the right to treat your booking as cancelled and to charge you a cancellation charge up to 100% of the total on that last Invoice. A Tax Contribution of 5.5% will be applied to all bookings. Tax Contributions are payable on the full value of your tour regardless of whether the tour is cancelled or not.

A late payment fee of 10 EURO/GBP per day is payable should you not pay your final payment before 60 days.

If you pay money for your booking to a travel agent appointed by us, they will hold that money as our agent from the time they receive it until they pay the money to us. If your payment is made by credit card a fee will apply, please check fee at time of booking. We do not accept personal cheques, only building society and bankers’ drafts will be accepted.

Please note any tours with a balance higher than 7,000 EUR/GBP will be required to be paid by bank transfer. Our bank details will be provided on your invoice when your payment is due.

If You Change Your Booking – You must ensure all names and details are entered correctly at the time of booking. You will receive an invoice once your booking is confirmed and must contact us straight away if there is something that you need to correct.

You may transfer your booking to another person, providing the following conditions are met:
– You authorise the change in writing
– The new lead passenger accepts the transfer and the terms of our agreement
– That person complies with the terms of the existing booking
– That person has valid vacation insurance – you cannot transfer your vacation insurance to the new lead passenger.

We’ll charge amendment fees to change a name on a booking outside 14 days to departure; these will be added to the new invoice. The new lead passenger, and you should they fail to pay, will be responsible for the payment of any balance due on that new invoice.

We charge an ‘Amendment Fee’ for each detail of your booking we allow you to change, see guide to our amendment fees table below. Please note that more major changes, including but not limited to, travelling later than planned, changes which lower the basic price of your vacation, and changes which result in your vacation ceasing to be a Vacation Package will be treated as a cancellation and incur the appropriate charges.

Please bear in mind that certain airlines, accommodation suppliers and other transport providers treat changes as a cancellation and charge accordingly, up to 100% of the cost for that part of the arrangement. Where applicable these charges will be passed on to you.

When changing your vacation details, the price of your new travel arrangements will be based on the price that applies on the day you make the change. These prices may not be the same as when you first made your booking.

Some accommodation is priced according to the number of people staying there. If your party size changes, we’ll recalculate your booking cost based on the new number of people going. If fewer people share the accommodation, then the cost per person may go up. This extra cost isn’t a cancellation charge, and it isn’t normally covered by insurance.

Some arrangements cannot be removed once they have been added to your booking. Certain extras, such as excursions, ticket events, theme park tickets and airport extras may be non-refundable.

Golf Bookings are non-refundable, non-transferable and changes can’t be made to a golf booking once it is confirmed. This includes but is not limited to tee-times, player names and duration of play. An additional deposit may be required to confirm a golf booking.

Guide To Our Amendment Fees:

To Travel at a later date – If you wish to travel up to 60 days later than your original arrival date, you will be subject to our Amendment fees.

* please note there won’t be any reduction in the price you pay, even if your new travel arrangements are cheaper than the original booking. All the above fees are applied once we have confirmed your booking with us. If you are not satisfied with any booking we make, you have 48 hours to notify us after we have confirmed the booking. After 48 hours the booking is determined as satisfactory and any future amendments will be liable to the amendment fees outlined above. Each change requested is considered a single change and will have the fees applied. Accommodations cannot be altered within 14 days. All accommodation bookings are subject to availability.

If your new dates are more than 60 days than your original arrival date, you will be subject to our Cancellation Fees.

*Small Group Coach Tours – If you wish to change the dates on our Small coach tours, you will be subject to a Change of Date charge of 100 Euro per person.

If your new arrival date is within 60 days of your original departure, you will be subject to our Cancellation fees.

If you cancel your booking – If you want to cancel your booking, or part of it, you must contact us as soon as possible. If you have made your booking through a Travel Agency, your agent must advise us of your request to cancel. Once your booking has been cancelled you can expect to receive a cancellation invoice within 14 days. If you don’t please contact us.

To cover the cost of processing your cancellation, and to compensate us for the risk that we may not be able to resell your travel arrangements, we’ll make a cancellation charge on the scale shown below. You are responsible for paying this charge.

Guide to our cancellation charges – These charges are based on how many days before your booked departure we receive your cancellation notice, and are a percentage of the total cost of your booking. If you want to cancel one or more passengers on the booking you’ll have to pay a proportion of the applicable cancellation charge for those passengers.

Your deposit is non-refundable, even if the cancellation charge calculated is lower than the deposit amount paid. Where extra facilities or transport options, are non-refundable, in part or in full, the cost of these will be added to the cancellation charge you have to pay.

If you booked using a Low Deposit Offer, the full deposit amount stated on your confirmation invoice will need to be paid upon cancellation.

The cancellation charge may be higher for certain travel arrangements, such as group coach tours.

Refund payments have a 10% handling fee.

These cancellation terms are applied either to complete cancellations or part cancellations of any booking.

Attractions – Exploring Vacations is not responsible for any attractions that are closed for any reason and therefore not accessible for the visitor.

Exploring Vacations is not responsible for any delays outside their control that cause passengers to miss their flights. Exploring Vacations will make every effort on escorted tours to get passengers to the airport on time but are not responsible for any unexpected delays.

Conduct While Travelling – We reserve the right to refuse to accept you as a customer or continue dealing with you if we, or another person in authority, believe your behavior is disruptive, causes unnecessary inconvenience, is threatening or abusive, you damage property, you upset, annoy, disturb, or put any other traveler or our staff or agents at risk. If you are refused a service as a result of disruptive behavior you are not entitled to any refund.

For the purposes of this section reference to “you” or “your” includes any other person in your party.

Accommodation – Any accommodation we arrange for you must only be used by those people named on your confirmation invoice (or on latest amendment invoice issued). You are not allowed to share the accommodation or let anyone else stay there. You are responsible for the cost of any damage caused to your accommodation or its contents during your stay. These charges must be met by you and may have to be paid locally.


Terms & Conditions of Named Offers

Allocation 100 Offer Terms & Conditions

Customers taking advantage of the Allocation 100 Offer entitles you to a number of free flights when you book your tour, as well as a free nights accommodation, and a number of free items, subject to availability.

If you avail of a free flight offer from an Allocation 100 offer you will need to make a full payment at the point of booking.

Standard Refund Policy on Allocation 100 Offer Tours 

Tours booked under the Allocation 100 Offer are 100% Refundable before flights have been secured. From the point that flights are secured, the tour becomes 100% Non-Refundable.

Standard Amendment Policy on Allocation 100 Offer Tours

Tours booked under the Allocation 100 Offer have no limit on amendments to the tour before flights have been secured. From the point that flights are secured, no amendments will be permitted. All amendment requests will be treated as new bookings, and full cost of the amendment will be the responsibility of the customer, and must be paid in advance.

Standard Flight Policy on Allocation 100 Offer Tours

The information required to secure flights must be provided to Exploring Vacations at least 60 days before departure date, or at the point of booking, if the point of booking is within 60 days of the departure date.

Flights are secured only from specific airports. Exploring Vacations will determine which airport free flights will be from.

Seat assignment is random, unless a seat fee is paid. Please consult your travel advisor if you would like to specify your seating conditions

The Allocation 100 Free Flight offer refers to flights from North American major hubs to Ireland and UK. The offer relates only to one return flight from the major North American hub to an airport in Ireland or the UK. The flight offer does not include any internal or connecting flights.
